AI Receptionist: Always Here, Always Ready

An AI receptionist answers every call instantly, at any hour, without getting tired or taking lunch. Here is what it genuinely does well — and where a human is still better.

WOCOM AI Receptionist — always here, always ready

The phone rings at 7:40pm. Your office closed at five. The caller wants to know whether you service their area and roughly what it costs. They will get an answer somewhere in the next ten minutes — the only question is whether it comes from you or from a competitor.

That is the gap an AI receptionist fills.

What it actually does

WOCOM’s AI Receptionist answers inbound calls in natural conversation. It is not a phone tree with a synthesised voice — the caller speaks normally and it responds to what they said.

  • Answers on the first ring, every time
  • Handles common questions from your own information
  • Takes messages and captures contact details
  • Books or requests appointments
  • Routes urgent calls straight to a person
  • Works around the clock, including holidays

Where it genuinely wins

After hours. This is the clearest case. Calls that used to hit voicemail now get a real answer. Even when the AI cannot resolve the question, it captures the enquiry properly instead of leaving the caller to hang up.

Peak overflow. When all your staff are already on calls, the alternative to AI is not a human — it is a ringing phone. Answering imperfectly beats not answering.

Repetitive questions. Opening hours, location, do you serve my parish, do you take card. These consume a surprising share of a receptionist’s day and are exactly what AI handles without complaint.

WOCOM Tip

Set your escalation rules deliberately. The AI should hand off to a human the moment a caller says something like “this is an emergency” or asks for a specific person by name. A well-configured handoff is the difference between customers finding it helpful and finding it infuriating.

Where a human is still better

We would rather set expectations properly than oversell this.

Complaints need a person. A frustrated customer who has already had a bad experience does not want to explain it to software, and pushing them through AI makes it worse.

Complex quoting needs a person. Anything requiring judgement about an unusual job, a negotiated price, or a commitment on timing should reach someone who can actually make that call.

Long-standing relationships need a person. Your best customers should get a human who knows them.

The right model is AI as the first line and overflow, not as a replacement for your team.

Getting it right

The quality of an AI receptionist depends almost entirely on the information it is given. Feed it vague content and it gives vague answers.

Before going live, write out the twenty questions you are actually asked most often and answer each one in a sentence or two the way you would say it on the phone. That document does more for the result than any amount of configuration.

Then listen to the first week of recordings. You will spot three or four things to fix immediately, and after that it largely runs itself.
